24,500 per annum

Permanent, Full Time

Full-time - 37 hours per week

We have an opportunity for an Administrative Assistant to join the Governance team to provide administrative support to the team and provide administrative support for Board and Committee meetings, such as venue hire & catering, room bookings etc.

Key responsibilities include:

  • Provide administrative support to the Governance Team, including diary management.

  • Undertaking Board and Committee meeting coordination, venue hire and catering provision, arranging appropriate speakers, providing presentation materials and enabling technology.

  • Maintain the Board Portal (Team Engine) ensuring documentation and publications are up to date.

  • Maintain and administer the Power of Attorney, Sealing and Signing registers on behalf of the Company Secretary, undertake DocuSign process administration, arrange couriers as necessary.

  • Maintain the Shareholder Register, and Saffron Community Members Register, providing effective and timely support for meetings as necessary.

Our ideal candidate will have:

  • Experience of providing high-level administrative support and ability to undertake administrative tasks accurately and efficiently.

  • Experience of supporting Board Member recruitment, induction, appraisal and succession processes.

  • Experience of arranging and co-ordinating Board and Committee Meetings.

  • Good IT skills to include Microsoft Word, Excel, Outlook and Teams.

  • Experience of using Board or Governance portals.

  • Excellent time management skills, including an ability to prioritise work effectively and successfully manage competing priorities/ projects.

  • Well organised, calm and methodical with the ability to be able to prioritise to meet and work to tight deadlines in a rapidly changing environment whilst planning, generating and adapting solutions accordingly.

  • Excellent communication and interpersonal skills, possessing the ability to liaise with various audiences both in writing and verbally.

  • Able to work as part of a team and also be pro-active with the ability to self-direct and use your initiative.

  • Ability to work unsupervised, self motivated and to judge when to seek advice from manager.
