As a result of this continued grow they are looking for a highly organised and motivated Finance and Office Administration Assistant to support our Finance Manager and oversee general office administration who will relish working in a creative environment.

Your role as Finance and Office Admin will be:

You will provide essential support to the Finance Manager and ensure the smooth operation of the office. You will be meticulous with strong financial administration skills, along with the ability to manage and improve office processes. The ideal candidate will play a key role in maintaining financial accuracy and fostering an efficient office environment.

This is a multi-faceted role and is split as follows:

Finance Administration Support:

Assist the Financial Controller with day-to-day financial operations, including taking ownership of the whole purchase ledger function.

- Process all purchase invoices on the accounting system

- Diligently sign off invoices and liaising with suppliers to resolve any disputes

- Checking supplier monthly statements

- Produce creditor payment schedules

- Raising purchase orders and ensure costs are allocated to the correct project

- Process credit card receipts and expenses

- Maintain accurate and organized financial records, ensuring compliance with company policies and relevant regulations

Office Administration:

- Support the Project Management team with general administration support and raising purchase orders

- Oversee the general operations of the office, including managing office supplies, equipment, and maintenance needs.

- Coordinate with vendors and service providers to ensure the office is running smoothly and efficiently.

- Manage office budgets, including handling petty cash, tracking expenses, and ensuring cost-effective operations.

- Assist with the organisation of company events, meetings, and training sessions, including logistics and catering arrangements.

- Handle incoming and outgoing correspondence, ensuring timely and accurate communication within the company.

- Maintain a clean, organised, and professional office environment.

- Provide general administrative support, including filing, document management.

Communication Management:

- Act as the primary point of contact for the Finance Manager, managing incoming communications and prioritizing tasks.

- Liaise with internal and external stakeholders, ensuring effective communication and collaboration.

- Prepare and distribute internal communications, reports, and updates as required by the Finance Manager.

Travel Coordination:

- Arrange travel logistics for the Finance Manager and other staff as needed, including booking flights, accommodation, and transportation.

- Prepare travel itineraries and ensure all arrangements are cost-effective and meet company policies.

Confidentiality and Compliance:

- Handle sensitive financial information with the utmost discretion, ensuring confidentiality and compliance with company policies and regulations.

- Ensure that all financial and office administration activities comply with relevant laws and regulations.
