Salary: £29,000 - £35,000

Evolve Recruitment are seeking to recruit an experienced hands-on Front of House/ Receptionist. As part of the continuous progression a new and exciting opportunity has been created for a Front of House Senior Office Receptionist to manage the day to day running of the prestigious new office in Mayfair.

A big part of this role will be to act as an ambassador for the organisation providing excellent, first-class service, welcoming and supporting all our clients (national and international) as well as dealing with senior stakeholders, shareholders from the parent company, colleagues at all levels of the organisation and other externals visiting the premises.

This is a varied and busy role that will incorporate Front of House, Facilities / Office coordination as well as secretarial and administrative support.

Key responsibilities:

Reception duties: Clients /visitors

  • Meet and greet clients, external visitors such as delivery/contract personnel, quickly and efficiently by responding to their needs and enquiries promptly.
  • Provide refreshments to clients and visitors/ manage waiting times
  • Manage incoming telephone calls to themain reception and deal with enquiries efficiently.
  • Ensure uninterrupted service of the reception desk
  • Ensure appropriate procedures are followed in relation to security and access.
  • Complete all Account Opening formalities and adhere to KYC/KYB/AML guidelines.
  • Responsible for managing Premier client documents on DSX / Salesforce

General office admin duties

  • Ensure a clean and tidy reception area as well as adjacent areas and meeting rooms
  • Ensure reception reading materials are up to date
  • Manage the reception register
  • Access card management for colleagues and Visitor badges
  • Coordination of all office supplies (stationery, teas/coffees, fruit deliveries etc )
  • Observe Health & Safety and act accordingly reporting as necessary
  • Manage distribution of incoming post and deliveries to the Bank ensuring that they are dealt with promptly on a daily basis.
  • Manage the booking of all meetings rooms. Arranging seating and refreshments for meetings as appropriate
  • Manage first aid register and first aid supplies
  • Report any issues and problems
  • Manage cleaners

  • Relationship building and management of client and visitor relationships
  • Quality of service delivery based on customer service satisfaction
  • Proactivity and organisational effectiveness

Competencies, skills, knowledge and experience to undertake the role:

Essential:

  • 2 years reception and administrative experience in a corporate organisation
  • Excellent written and spoken English - A level education standard
  • Excellent interpersonal and communication skills
  • Ability to display confidence in welcoming and dealing with clients and visitors
  • Ability to prioritise effectively
  • Experience of working in fast-paced organisations
  • Flexible and adaptable to changing priorities
  • A can-do attitude
  • Collaborative skills
  • Good organisational skills with ability to work independently using own initiative & judgement
  • Detail conscious
  • Intermediate MS Office

Desirable:

  • Knowledge of health and safety
  • Knowledge of first aid
  • Knowledge of Arabic or other language useful

Other requirements specific to the role:

Experience of working in a corporate environment
