Description: Administrator for Commissioning Mental Health & Learning Disabilities

To provide an efficient, effective and confidential Administrative service to the Commissioning Team. To contribute to the secretarial/administrative support for the Health Board and to the efficient operation of the office systems. To operate within the Health Board policies and procedures.

Main duties of the job
  1. Undertake complex administrative duties relating to the function of the Commissioning Team.
  2. Be responsible for the chasing of all pending cases and awaiting placement cases.
  3. Manage diary for the Commissioning Team.
  4. Manage an effective administrative system on behalf of the Commissioning Team.
  5. Arrange and service meetings, Quality Assurance Panels, and sub committees/groups ensuring agenda and papers are distributed on time.

The ability to speak Welsh is desirable for this post; Welsh and/or English speakers are equally welcome to apply.

Job responsibilities
  1. Undertake complex administrative duties relating to the function of the Commissioning Team, Mental Health and Learning Disabilities.
  2. Be responsible for the chasing of all pending cases and awaiting placement cases for Continuing Healthcare.
  3. Be responsible for diary management for the Commissioning Team.
  4. Assist in the timely processing of Continuing NHS Healthcare applications and enquiries, ensuring urgent correspondence is dealt with immediately.
  5. Manage, co-ordinate and service meetings for the Commissioning Team as directed, including venues, travel arrangements and timely production and distribution of associated paperwork where appropriate.
  6. Handle incoming and outgoing telephone calls for the Commissioning Team promptly, accurately and confidentially, filtering incoming calls to other offices within the ABUHB as appropriate.
  7. Participate in Commissioning Team meetings.
  8. Contribute to relevant decision-making processes relating to admin policies and procedures.
  9. Copy and circulate documents as required, ensuring timely distribution.
  10. Prepare draft letters for the Continuing Healthcare Commissioning Team and minute meetings as required.
  11. Manage an effective administrative system on behalf of the Commissioning Team.
  12. Arrange and service Continuing Healthcare meetings, Quality Assurance Panels, and sub committees/groups ensuring agenda and papers are distributed on time.
  13. Contribute to the development of corporate policies and procedures within the workplace.
  14. Complete and maintain patient information on the NCCD.
